Overview:

INTECON is seeking an experienced and dynamic Senior Administrative Specialist to provide high-level executive and programmatic support to the Defense Counterintelligence and Security Agency (DCSA) Office of the Director, with direct alignment to the Component Acquisition Executive (CAE) Staff. This role involves coordinating and managing a full spectrum of administrative and operational tasks in a fast-paced, high-visibility environment supporting the DCSA’s acquisition mission.

The ideal candidate is a seasoned administrative professional with a strong background in office administration, project coordination, and executive support. This role requires exceptional organizational skills, a proactive mindset, and the ability to manage high-priority workflows in a dynamic government environment. Key Responsibilities:

  • Executive-Level Administrative Support:
    • Manage calendar and scheduling for senior leadership, including the CAE and Front Office.
    • Coordinate travel arrangements and process travel vouchers using DTS.
    • Draft, edit, and proofread high-level correspondence, reports, and staff packages.
    • Serve as the liaison between the CAE staff and internal/external stakeholders.
    • Support meeting logistics: prepare agendas, take minutes, track action items, and follow up.
  • Acquisition Program Support:
    • Track acquisition-related documents, contract actions, and program deliverables.
    • Ensure documentation meets DoD acquisition standards and DCSA formatting guidelines.
    • Assist in the preparation of acquisition documentation such as Acquisition Strategies, SOWs, and Task Orders.
    • Maintain acquisition-related SharePoint sites and document repositories.
  • Task and Correspondence Management:
    • Operate the Correspondence and Task Management System (CATMS) to assign, track, and finalize internal and external tasks.
    • Review and consolidate responses from various DCSA offices to ensure alignment with CAE priorities and DoD standards.
    • Provide guidance on task management procedures and ensure timely completion of taskers.
  • Operational Coordination & Strategic Communication:
    • Support coordination of high-level meetings, conferences, and events (e.g., retirements, off-sites, orientations).
    • Prepare briefing materials, decision support documents, and talking points for the CAE and Director.
    • Develop visual and written communication products (e.g., charts, infographics, policies, “how-to” guides).
    • Participate in knowledge-sharing sessions and capture process improvements or risks.
  • Other Duties:
    • Assist with onboarding/offboarding of personnel and training coordination.
    • Maintain office supply inventories and requisition support.
    • Provide backup executive assistant support across the DCSA Front Office as needed.

Clearance Requirements:

  • Active Top Secret (TS) security clearance is required; TS/SCI clearance is preferred.

Qualifications:

  • Bachelor’s degree in Business Administration, Management, Communications, or a related field is required; relevant experience or certifications may substitute for a degree.
  • 10+ years of high-level administrative experience supporting DoD, Federal Agency, or large-scale corporate environments.
  • 6+ years of experience in calendar management, scheduling, and prioritization of executive-level tasks.
  • 5+ years of experience managing workflows in task management systems such as CATMS, SharePoint, or equivalent platforms.
  • 3+ years of direct executive support experience in a high-visibility, mission-critical environment.
  • Strong expertise in task tracking, correspondence management, and executive scheduling.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams).
  • Experience using CATMS, SharePoint, and Adobe Suite tools.
  • Strong organizational and time management skills with attention to detail.
  • Advanced writing, editing, and analytical skills with keen attention to detail.
  • Ability to manage multiple priorities under tight deadlines in a fast-paced, high-pressure setting.
  • Familiarity with DoD acquisition processes and related documentation standards (e.g., FAR/DFARS, DoDI 5000.02) is preferred.
  • Experience supporting acquisition or program executive staff is preferred.
