Overview:
INTECON, LLC is seeking a highly motivated and experienced Senior Administrative Professional to join our team supporting the Office of the Associate Administrator (OAA) within the Federal Emergency Management Agency's (FEMA) Office of National Continuity Programs (ONCP), Business Management Division (BMD). This role is critical in ensuring seamless operations, fostering collaboration, and advancing key initiatives supporting FEMA’s national continuity programs.
Key Responsibilities:
- Executive Support: Serve as the primary administrative coordinator for the Associate Administrator, managing priorities, schedules, and relationships with internal and external stakeholders.
- Communication Management: Oversee reception and correspondence duties, including responding to phone calls, emails, and instant messages, as well as greeting visitors per standard operating procedures (SOPs).
- Calendar Management: Schedule and coordinate appointments, resolve conflicts, and prioritize meeting requests to optimize leadership time.
- Meeting Preparation: Assemble and distribute read-ahead materials and briefing packages for meetings, trips, and special assignments across various operational areas.
- Documentation Management: Route documents for leadership signatures, manage the document routing process via SharePoint, and maintain electronic records for easy access and compliance.
- Tasking Coordination: Disseminate and monitor taskings and RFIs, ensuring responses align with ONCP deadlines and quality standards.
- Email Box Oversight: Manage the ONCP Action Office email inbox, ensuring timely responses and coordination with appropriate personnel.
- Records Compliance: Maintain files and records in compliance with FEMA’s records management policies and ONCP-specific procedures.
- Continuous Improvement: Support project management and customer service best practices, identifying areas for process improvement and driving efficiency across ONCP initiatives.
- Administrative Functions: Conduct research, prepare statistical reports, manage information requests, draft correspondence, receive visitors, and arrange conference calls and meetings.
Clearance Requirements:
- Active Top Secret (TS) clearance with SCI Eligibility is required; Active TS/SCI clearance is highly preferred.
Qualifications:
- Minimum of 10 years of relevant experience in supporting senior staff and managing complex operational priorities.
- High School diploma or GED is required; Bachelor's degree in Business Administration, Public Administration, or a related field is preferred.
- Proven ability to support senior-level staff and achieve organizational objectives in fast-paced environments.
- Strong communication and interpersonal skills to effectively collaborate across all organizational levels.
- Demonstrated analytical and problem-solving skills with a track record of delivering effective solutions.
- Exceptional organizational skills and attention to detail for managing schedules, taskings, and documentation.
- Familiarity with federal tasking and correspondence management systems (e.g., SharePoint, correspondence tracking tools).
- Proficiency in records management policies and procedures within federal agencies.
- Direct experience with FEMA or federal continuity programs, especially in roles requiring interaction with senior leadership, is highly preferred.
